Situation
Decision Management Company (DMC) develops software for document imaging and workflow systems. They provide advanced electronic records management systems, workflow systems, and professional consulting expertise to a variety of markets in the U.S. and abroad. Markets that they serve include corporate, government, healthcare, architecture/engineering/contracting, financial, education, legal, and law enforcement. DMC needed to unify customer data that currently existed in four separate computerized systems and two manual systems-none of which was even tied to their accounting. The isolated data made order processing, customer service, and many other business processes painfully slow. "Our old system was a duplicate data-entry nightmare!" says Andre Hadzi-Pavlovic, Operations Manager of DMC. "We had very slow turnaround time from performing a job to reporting time to billing to collection." They reviewed various solutions, such as Peachtree, MS bCentral, and MS Great Plains, but none offered full-integration of all businesses functions in a Web-based package. "With employees in four states, we really needed a solution that each location could access at any time and get the data they needed."
Solution
DMC implemented the Oracle Small Business Suite to integrate all of their businesses functions, as well as allow access to their different offices. "Full integration of all employee reporting into the accounting system has drastically reduced data entry time." Now, a new customer record doesn't have to be entered into a separate system by each department, since each record can be seen by and added to by all departments. Having a complete record for each customer has also improved customer satisfaction: "customer sales inquiries are responded to in minutes rather than days." The Suite has even improved employee morale: "employees are receiving expense reimbursement in a few days rather than a few weeks." This has been especially helpful for the employees that do not work in the main office. The Suite has improved almost every facet of DMC's overall business process: "There isn't a specific feature that we find most useful; it's the integration of all the features that makes the Suite so valuable. We demand a big business system and Oracle Small Business Suite is the only one that delivers."
Results
DMC is saving about $60,000 a year due to increased work efficiency, particularly the elimination of multiple data-entry and having to search on several different systems for a complete picture of each customer. They are in the process of training their sales team on the SFA tool and are expecting large returns when it's fully implemented: "preliminary figures show that when we do, we will realize roughly $25,000 to $30,000 in lost sales per month."
